- WELCOME TO ARCHIVE TRACKER 3.1!

- An OVERVIEW OF ARCHIVE TRACKER
- ARCHIVE TRACKER consist of a computer files archiving system and the
- implementing software that keeps track of the archived computer files. The
- software portion of the system (ARCTRACK.EXE and associated files) will
- automatically store the information from the directory of an archival
- diskette into a database that can then be searched to locate specific
- archived files.

- Before any data can be added to the system, an archive system must be
- set up that removes files from a hard drive and stores those files onto
- floppy diskettes. The directory of each Archival diskette is then read by
- the software provided and file identification data is stored in a database
- which can be queried, using menu, to locate specified files. Archival
- diskettes are purchased by the user from local sources to minimize cost.
- During the input process, ARCHIVE TRACKER automatically checks input to
- assure that duplicative data is eliminated, thereby allowing for multiple
- uses of the same Archive Diskette until that diskette is filled up.

- ARCHIVE TRACKER requires 300K RAM and a hard disk system. The number of files
- for which information can be stored is limited only to the size of the
- available space on the User's hard drive.

- ARCHIVE TRACKER USE AGREEMENT
-
- ARCHIVE TRACKER is a "shareware program" and is provided at no charge
- to the user for evaluation. Feel free to share it with your friends, but
- please do not give it away altered or as part of another system. The
- essence of "user-supported" software is to provide personal computer users
- with quality software without high prices, and yet to provide incentive
- for programmers to continue to develop new products. If you find this
- program useful and find that you are using ARCHIVE TRACKER and continue to
- use ARCHIVE TRACKER after a reasonable trial period (30 DAYS), you must
- make a registration payment of $35.00 (PLUS $1.75 SALES TAX for Residents
- of the State of Maryland) to ROBERT BARRENTINE.

- The $35.00 registration fee will license one copy for installation
- and use on only one computer. Site license to use ARCHIVE TRACKER on
- multiple computers is available and must be applied for prior to
- installing ARCHIVE TRACKER on more than the one computer used for testing/

- 1.0 RUNNING SETUP FOR ARCHIVE TRACKER

- 1.1 SYSTEM CONSIDERATIONS. ARCHIVE TRACKER will operate better if
- your CONFIG.SYS file contains these commands:
- FILES = 20 (or higher)
- BUFFERS = 20 (or higher)
- The PATH statement for a hard disk system need not include the TRACKER
- subdirectory, but may do so if that is your desire.
-
- 1.2 SETUP.EXE, included on the installation diskette, is a program
- that should be run prior to attempting to run ARCHIVE TRACKER. SETUP will
- ask you certain questions that it needs to build the various constants
- that will be referred to during the running of the ARCHIVE TRACKER program.
-
- 1.3 COPYING ARCHIVE TRACKER ONTO YOUR HARD DRIVE. ARCHIVE TRACKER is
- designed to operate on any ONE subdirectory of a hard disk system; I
- recommend using "ARCTRACK" but the naming of this subdirectory is totally
- up to the user. Once the subdirectory is created ["MD <subdirectory
- name>"], move to that subdirectory ["CD <subdirectory name>"], and copy
- all files ["COPY A:*.*", once for each distribution diskette] into that
- subdirectory. Store your distribution diskette(s) somewhere safe until you
- need them again.

- 1.4 RUNNING SETUP.EXE. To set up ARCHIVE TRACKER on a hard disk,
- simply type "SETUP <cr>" while in the subdirectory which contains the
- ARCHIVE TRACKER files.
-
- 1.4.1 RESPONDING TO SETUP. SETUP will ask you for your Name and your
- company name. If you are using this as a private individual rather than as
- a corporate user, you may leave this field blank. After you respond to
- these questions, SETUP will ask for your Address. At this prompt enter
- your mailing address (either Street or P.O. Box) followed by the city.
- Following the city, enter either the 2-letter abbreviation for your State
- or, if resident outside of the United States, any identifiable 2-letter
- designator for your country of residence (e.g., UK for the United Kingdom,
- SP for Spain, etc.). SETUP will then repeat the information you have typed
- in to insure that what you see is what you want. Type "Y" to accept the
- data or "N" to return SETUP to a place in the program where it will
- request the data again.

- 1.4.2 WHAT IS SETUP DOING? All that SETUP is doing is creating a
- file [IDENT.MEM] that will be invoked during the running of ARCHIVE
- TRACKER so that ARCHIVE TRACKER will know where it is to operate and how
- to refer to you, and your company.

- 1.5 RUNNING ARCHIVE TRACKER. To run ARCHIVE TRACKER, type "ARCTRACK"
- at the prompt.

- 2.0 ARCHIVE SYSTEM DISCUSSION
-
- 2.1 Archive System Defined. Throughout the evolution of ARCHIVE
- TRACKER, the use of the term "archive system" referred to a series of
- events which included the actions needed to remove data from a fixed disk
- to a set of floppy disks; the ability to keep track of the files stored on
- these various floppy disks; the ability to search for and find files once
- they have been transferred to an a set of archive disks; and, finally, the
- ability to reaccess those files as the need may arise.

- 2.2 Archive vs. Backup v.s. Housekeeping.
-
- 2.2.1. Backup files are those files which are created either by using
- the DOS BACKUP command or by using some sort of third party software
- designed to create an exact copy of a hard disk or a portion of a hard
- disk in order to maintain this "back up" copy of the data to protect
- against mishap. In most instances, Backup Files are processed, during the
- backing up procedure, to compress them and are rendered readable only by
- the software used to restore them to their original condition and position
- on the hard drive. Backup files may consist of both program files and/or
- data files, depending upon the backup methodology used.

- 2.2.2. Archive files, on the other hand, are those files which have
- outlived their usefulness or need as residents on a hard disk and are
- removed from the hard drive for storage. These files are stored because the
- user may foresee a possible future need for the information contained therein.
- Normally, archive files consist solely of data files although an occasional
- program might be "archived off" of a hard drive as it is either replaced or
- upgraded.

- 2.2.3. Housekeeping, as a last topic to be defined, is that action or
- set of actions which deletes from the system all unnecessary and/or
- unwanted files and consigns those files to "that great bit bucket in the
- sky."
-
- 2.3 Where ARCHIVE TRACKER fits into this discussion. How data files
- are moved from one's hard disk to a separate set of archive disks is best
- left to the individuals doing the archiving. Each of us has our preferred
- method of moving files, our own favorite file manager. The idea behind
- ARCHIVE TRACKER is that files are moved intact (without compression or
- other alteration) so that the originating program(s) could access the
- files from the receiving archive media should that be so required. ARCHIVE
- TRACKER, then, becomes a way of reading the directories of the archive
- medium and storing the contents of the directory in a database which can
- be searched and viewed to locate files sought after having been archived.
- ARCHIVE TRACKER serves no other purpose other than being an index to all
- archived files in your archive system.

- 2.4. Lastly, some of the "truths" about copying files need to be
- mentioned simply be way of preface. A hard drive can hold a lot of data!
- Floppy disks can hold only a finite portion of the whole set of data
- resident on a hard drive, the exact amount dependent upon the capacity of
- the floppy disk. The size of the floppy disk does determine the overall
- amount of data that can be moved; however, one vagary of DOS will also
- restrict the amount of data that can be moved onto a floppy disk: the

- number of files that can be copied into a root directory is also limited
- proportionate to the size of the disk. There is a way to overcome this
- vagary: create a subdirectory on your receiving floppy disk (I use
- ARCHIVE!) into which you move your files to be archived. The same vagary
- that creates the limitation on the number of files in a floppy disk root
- directory also views each subdirectory as a file and there is no limit on
- the size of a files (read: number of files stored in a subdirectory)
- except the physical limitations of the size of the disk.

- 3.0 HOW TO INPUT DATA TO THE ARCHIVE DATABASE
-
- At the ARCHIVE TRACKER Master Menu, move the cursor to "1 - UPDATE
- RECORDS" using the keyboard arrow controls or by pressing the numeral "1".
- Upon selection of the option, you will be presented with a reminder
- screen, asking that you ensure that the diskette containing archived files
- be placed in your computer's floppy disk drive. You will be asked to
- provide the location of your archive disk. BE SURE TO USE THE ENTIRE PATH;
- e.g., A: or B:\ARCHIVE. You will then be prompted to input the number of
- the specific archive disk; enter the numeral "0" to abort this procedure.
- ARCHIVE TRACKER will take your input, read the directory, and store the
- information into the database. Upon completion, ARCHIVE TRACKER will
- return you to the Master Menu where you can either exit the program or
- continue with ARCHIVE TRACKER tasks.

- 4.0 HOW TO SEARCH & VIEW DATA IN THE ARCHIVE DATABASE
-
- At the ARCHIVE TRACKER Master Menu, move the cursor to "2 - SEARCH
- RECORDS" using the keyboard arrow controls or by pressing the numeral "2".
- Upon selection of the option, you will be presented with a secondary menu
- at which you will determine how you want the data to be sorted. Once you
- have selected the order in which you will view files, you will be asked if
- you want to limit the files viewed to ONLY those containing specified
- characters. Once you have responded to this prompt, you will be presented
- the data in the order specified. Browse through the files listing until
- you locate the files you want, note their archive diskette number, and
- press "Esc"ape to exit the View option. Exit ARCHIVE TRACKER, retrieve the
- respective archive disk, engage the program that created the searched for
- file and you're ready to continue.
